Billing
Managing seats
Seats are changed in one place: Account > Billing, the Manage seats button. The Seats line on Admin > Users shows paid against assigned and links to the same place. When you take a seat away or deactivate a user on Admin > Users, Reduce seats is offered right there and opens the same place.
Step 1. Who holds a seat
A tick means that person holds a seat. Untick someone to pause them. The notetaker stops joining their calls from the next calendar sync. Their login and recordings stay, and their seat goes back to the pool. Tick them again to resume.
Step 2. What changes
Pausing and resuming moves nothing on your invoice. You are reassigning seats you already pay for. Two things do change your invoice: adding seats, and ticking "Also reduce my subscription to N seats". Both are confirmed on Stripe's page, which shows the new seat count and the prorated charge or credit. Nothing changes until you confirm. 2 seats is the minimum.
Good to know
Deactivate is a pause: the person cannot log in, nothing is deleted, and their seat is free for someone else. Reactivate brings them back. Remove from org is final: their calls stay with you, their open leads return to the pool, and they are offered their own Individual plan. Neither shrinks your subscription. Reduce seats is offered right after, or any time from Manage seats. When you add people at Admin > Users, Sales Seats within your open seats just go out. Sales Seats beyond them are confirmed on Stripe first, on the same page as here, before the invites are sent.
What these actions do

|---|---|---|---|
| Use it when | They are away or on hold | They are back | They are gone for good |
| Can be undone | Yes | Yes | No |
| Their login | Blocked | Works again | Gone |
| Their Sales Seat | Back in your pool | Given back if one is open | Back in your pool |
| Their calls and replays | Kept | Kept | Kept with the business |
| Their leads and deals | Stay theirs | Stay theirs | Open ones return to the pool |
| What they are told | That you deactivated them | That they are back | That you removed them, with an offer to continue on their own plan |
| Their email and details | Kept | Kept | Erased when the offer ends (14 days), or at once without an offer |
Good to know
- A person with a commission payout still owed cannot be removed until it is paid.
- Reactivate and Remove from org show on a person's row after they are deactivated.
- Deactivating or removing someone does not change your bill. A freed seat stays paid until you reduce seats.
- Reactivating someone who held a Sales Seat uses an open seat. With none open, it adds one and is confirmed on Stripe first.
- You cannot deactivate yourself. The account's founder cannot be deactivated or removed by another Exec.
