Newgensales for Microsoft Outlook
Last updated: October 8, 2026
With your calendar connected, the Newgensales notetaker joins the customer calls on it, calls you book in Newgensales are written to it with the invite and the join link, and your booking link offers only times that are free on it. One connection, done once; nothing to start before a call.
Connecting
- Sign in to Newgensales and go to Account > Profile, the Connected Calendar card.
- Click Microsoft Outlook.
- Microsoft asks you to sign in with your work or school account and accept the permissions listed below. If your organisation requires an admin's approval for new apps, Microsoft says so on the sign-in screen — send the request to your admin, then connect again.
- You come back to your Profile. The card shows the connected calendar with your email, and the Auto-record switch, on.
What it does
- The notetaker. Every meeting on your primary calendar with a Google Meet, Zoom or Teams link gets the notetaker. At start time it joins as a visible participant named Newgensales Assistant, records and transcribes the conversation, and leaves when the room empties. The analyzed call is then on the Meetings page. Lead calls only: 1:1 and team calls get the event and the link, no recording. The Auto-record switch turns it off.
- Booking. Calls you book in Newgensales are written to this calendar with the invite and the join link. Cancelling in Newgensales removes the event here.
- Your booking link. Offers the times your calendar shows as free, inside the booking hours you set.
- Meeting links. A link the calendar makes itself admits only invited guests, so outsiders — the notetaker included — have to knock. A connected meeting platform (Google Meet, Microsoft Teams or Zoom, on the same Profile card) makes an open link instead.
- More than one calendar. The notetaker watches all of them; bookings go to the one connected most recently.
Permissions it asks for
- Read and write your calendars (
Calendars.ReadWrite): to read the calls the notetaker should join, to write bookings, and to remove them when you cancel. Newgensales never changes events it did not create. - Your profile (
User.Read): to show which account is connected. - Keep you signed in (
offline_access): so the connection does not expire after an hour.
Removing it
- In Newgensales, go to Account > Profile, find the calendar row on the Connected Calendar card and click Disconnect. Access is removed here, every future notetaker from that calendar is cancelled, past recordings stay.
- You can also remove it on Microsoft: myapplications.microsoft.com, or account.microsoft.com > Privacy > Apps and services, find Newgensales and remove it.
If you revoke access on their side, the card shows the connect buttons again.
Troubleshooting
- The card says read-only. The write permission was not granted. Click Reconnect and keep it ticked; bookings need it.
- The notetaker did not join. The event needs a video link and a lead on it. Calls without a link are not joined; 1:1 and team calls are not recorded.
- The notetaker had to knock. The event's link was made by the calendar. Connect a meeting platform so new bookings get open links.
- "Need admin approval". Your organisation requires an admin to approve the app once. Forward the request; connect again once it is approved.
Data and privacy
Newgensales stores the account email, the tokens needed to read and write your calendar on your behalf, the events it wrote, and the ids of the events it joined. Disconnecting deletes the tokens. What we do with recordings and transcripts is in the Privacy Policy. Questions: support@newgensales.ai or the support page. More about the product: All docs.
