Getting Started
Connecting your calendar
One connection, done once. After it there is nothing to start or schedule before a call.
- Go to Account > Profile and find the Connected Calendar card.
- Choose Google Calendar or Microsoft Outlook.
- You are sent to the provider to approve access, then back to your Profile. On Google, keep the calendar permission ticked. Without it the connection is refused and you are asked to reconnect.
What you just switched on
Every meeting on your primary calendar with a video link now gets the notetaker: Google Meet, Zoom or Microsoft Teams. Recording is on by default. The Auto-record switch on the card turns it off. At start time the notetaker joins as a visible participant named Newgensales Assistant and transcribes the conversation live, per speaker. When the room empties it leaves on its own. The analyzed call is then on the Meetings page.
Good to know
The connection powers booking too. Calls you book in Newgensales are written to your calendar with the link and the invite. Cancelling here removes the event there. That needs write access. If your connection is read-only, the card says so and offers Reconnect. Disconnect removes every future notetaker from your calendar. Past recordings stay. If you revoke access on the provider's side, the card shows the connect buttons again. No calendar at all? The card lets you paste a single meeting link to record just that call.
Calendars, meeting links and the notetaker
| Google Meet | Microsoft Teams | Zoom | Your own link | |
|---|---|---|---|---|
| Google Calendar | Works as is. Calendar makes the link. Connect Google Meet for an open link ¹ | Connect Microsoft, work account ² | Connect Zoom ³ | Paste it on the booking |
| Outlook | Connect Google Meet ¹ | Works as is. Outlook makes the link. Connect Microsoft for an open link ² | Connect Zoom ³ | Paste it on the booking |
Good to know
- A link made by the calendar admits only invited guests. Anyone else, the notetaker included, has to ask to join. A connected platform makes an open link, and the notetaker walks in.
- Teams needs a work or school Microsoft 365 account. Personal Microsoft accounts cannot create Teams meetings.
- Zoom opens when our Zoom app passes review. Until then the tile says so.
- Your bookings are written to the calendar you connected most recently. The notetaker watches every connected calendar.
- The notetaker joins lead calls only. 1:1 and team calls get the event and the link, no recording.
- Disconnecting a calendar or a platform removes its access here and stops future notetakers from it. Meetings already booked keep their links.
